Job Summary

GuideStone is seeking a detail-oriented, innovative, confident, and experienced Executive Assistant. This position is extremely pivotal to the success of a well-run, efficient organization. The ability to adapt to constantly changing demands, take on new and unfamiliar tasks, and work collaboratively with other administrative professionals is critical. A successful candidate must have an ability to create and reinforce GuideStone’s enterprise culture of “heart, integrity and skill” by fostering a community atmosphere, demonstrating high initiative, and providing excellent service.
 

What You'll Do

  • Demonstrate high initiative, quick problem solving and support in day-to-day responsibilities.

  • Provide an exceptional standard of support for the Executive by serving as the central point of contact and gatekeeper.

  • Maintain and administer an efficient, professional work environment, with minimal oversight.

  • Manage multiple projects, taking on new responsibilities, autonomously provide solutions and assistance, and handle novel issues.

  • Manage daily calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes.

  • Arrange meetings and team events by creating and sending invitations as directed; in addition to reserving meeting rooms, organizing for catering, audio/video, and other essential services as needed.

  • Coordinate communications to and from the Executive and provide support as required by taking detailed messages that allow the Executive to respond effectively.

  • Organize travel arrangements and create expense reports for the Executive using GuideStone systems.

  • Serve as a role model for all other administrative professionals by mentoring others and maintaining the highest levels of customer service externally and internally across the entire organization.

  • Ensure the Executive is well prepared for meetings, responsibilities, and agenda.

  • Assist with coordinating and communicating with trustees and arranging trustee meetings.

  • Assist with coordination of general budget planning.

  • Display a high level of confidentiality in all work duties and communication.

 

 

What You'll Need

 

Experience

  • High School Diploma.

  • Bachelor’s Degree, preferred.

  • Experience setting up video conference and Zoom/Skype technology for meeting users.

  • Minimum 5-7 years advanced administrative experience in a fast-paced environment.

  • Minimum 5+ years of advanced experience in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams) and/or Google Suite.

  • Minimum 5+ years of calendar management supporting Executives.

  • Minimum 5+ years of meeting and event planning experience.

  • Highly resourceful and intuitive.

  • Highly effective and proactive with minimal oversight

  • Must have complete confidentiality regarding GuideStone business matters.
